Who This Checklist Is For
Before you put a purchase order in for a new pressure washer, a dust collection setup, or a sweeper, take ten minutes and read this. I'm the person who handles equipment buying for a facility services company—roughly $300K a year across a dozen vendors, or rather, closer to $340K once consumables and emergency replacements get added in. I report to both operations and finance, which means I get blamed when a machine stops working and questioned when a machine costs more than someone expected.
This is the checklist I wish I'd had when I took over purchasing in 2020. Six points. Each one is tied to a decision I've either made well, made badly, or watched a colleague make badly. If you're an office administrator, an operations lead, or a small business owner who buys cleaning equipment more than every couple of years, it should save you from at least one uncomfortable conversation with your accountant.
Step 1: Match the Power Source to the Site, Not the Brochure
The first question for a pressure washer isn't "which brand is best" or "how many PSI." It's "where is this thing going to live and work?" And that mostly comes down to the power source.
We run a Karcher diesel pressure washer at our equipment yard because the only 230V outlet is at the workshop, on the far side of the lot. Running cables across a gravel turnaround area where trucks move around isn't safe, and extension cords through mud are a liability no one needs. The diesel unit gives us the portability and runtime we need without a generator sitting in the middle of everything.
But here's the thing: if your sites have reliable power where you're going to wash, an electric machine is probably the smarter choice. Quieter, cheaper to run, less maintenance. I see buyers gravitate toward diesel or gas because it feels tough and industrial. In my experience, it just means you're buying fuel filters and changing oil more often. That's not a knock on diesel—it exists for very good reasons. It's about matching the tool to the site.
This setup worked for us because our operation is spread out and mostly outdoors. If you're washing inside a warehouse, a parking garage, or anywhere with limited ventilation, the calculus is different. Exhaust fumes become a real issue in enclosed spaces, and that should push you toward electric.
Step 2: Read the Spec Sheet Like a Skeptic
I learned this one about three years ago: the spec sheet is what the marketing team wrote. The user manual is closer to the truth. And the machine in front of you is the real test.
Three numbers matter:
- Working pressure, not just max PSI. A unit can claim 3,000 PSI at the pump and still only sustain 2,200 PSI during continuous work. If your job needs 2,500 PSI to shift old residue, that gap matters. Read the fine print on "max" vs. "working" pressure.
- Flow rate (GPM or LPM). This is the one people skip. Pressure blasts; flow rinses. A 1,500 PSI unit at 3 GPM can often clean faster than a 3,000 PSI model at 1.2 GPM, depending on what you're removing. Don't buy on one number.
- Duty cycle. Can the machine run for the hours you actually work? We looked at a "commercial" model in 2022 that required a 10-minute rest after 20 minutes of work. That's not commercial in any real sense. A machine that needs to cool down every 20 minutes doesn't help a crew that works in 2-hour blocks.
The annoying part is that sales reps are often working with the same brochure you are. They don't always know the thermal overload behavior or the sustained pressure curve until you ask. So ask.
Step 3: Pre-Buy the Spares for the Most Common Failure Points
If you've ever typed "Karcher pressure washer has no pressure" into a search bar, you already know the pattern. The usual causes are the same nearly every time: air in the feed line, a clogged nozzle, worn seals, or an unloader valve that's stuck. It's almost never anything exotic.
So when you order the machine, order the spares at the same time. A nozzle set, a seal kit, and an unloader valve. All of these together cost less than the first service call you'd need if you didn't have them.
I knew I should do this in 2021, but I told myself "what are the odds we need a spare nozzle in the first year?" Well. A site manager called me on a Tuesday with an urgent message: the machine had no pressure, just a flat stream with nothing behind it. The nozzle was packed with grit from a construction-area cleanup. We paid about $90 in emergency shipping for a part that should be a $12 stocking item. I don't even want to calculate the labor time and stress in between.
That kind of thing happens once. The operations team doesn't say "the nozzle clogged"—they say "the equipment you bought doesn't work." You don't want that narrative floating around your department.
Step 4: Match the Nozzle to the Dust You're Actually Dealing With
Dust is not dust. If you're collecting fine particles—drywall dust, concrete grinding residue, plastic pellets—a standard vacuum nozzle will disappoint you. You need a dust collector nozzle designed for that particle size range. Otherwise the machine pushes the dust around and the fine stuff ends up right back in the air.
A proper dust collector nozzle will usually have a brush-lined edge and a shape that concentrates the suction into a narrower band, instead of a wide mouth that loses velocity. That's the difference between actually collecting dust and just redistributing it.
One of my biggest regrets is ordering a set of generic dust nozzles without checking the hose diameter on our industrial vacuum. What I mean is, I assumed "standard" meant one thing and it meant something else. We've still got a drawer of plastic adapters that almost fit. A thirty-second measurement with a tape measure would have prevented it. So before you add a dust collector nozzle to your cart, measure the hose inner diameter and check the locking mechanism. They're not all universal.
Step 5: Rent Niche Machines Before You Buy Them
There are certain pieces of equipment you might only need a few times a year, and a beach sweeper machine is a perfect example. We had a client ask us to clean a large outdoor event plaza—a lot that needed to look immaculate for a weekend event. A new beach sweeper machine would have run us about $40,000. We rented one for the week for about $1,800 in 2024 and it did exactly what we needed.
Unless a niche machine is going to be used weekly, rent first. The rental gives you two things: proof of whether it actually solves the problem, and a chance for your crew to learn it without committing $40K on the first try.
There's a client-perception angle here too. If the sweeper shows up and handles the site cleanly, that's a small but real win for how the client sees your company. If it shows up and struggles because you bought a weaker version to save money, that's your brand absorbing damage in front of someone important.
Step 6: Check the Market Before You Sign the PO
I know everyone is busy and the PO just needs to get through before the end of the month. But market conditions affect lead times and pricing more than people realize.
Take dust collection as an example. According to Grand View Research (grandviewresearch.com), the US industrial dust collector market was valued at roughly $1.6 billion in 2024 and is projected to grow at about 4.7% annually through 2030. Verify current figures—market estimates get revised. The growth is driven largely by stricter OSHA and EPA enforcement around respirable crystalline silica (29 CFR 1926.1153) and air quality regulations.
What that means for a buyer: lead times have stretched. We've seen quotes of 10 to 12 weeks for dust collection equipment that was a 5-week lead time back in 2022. If you order only after a compliance deadline lands, you'll be paying expedite fees or missing the date entirely. Both of those have real costs.
Things I Learned the Hard Way
A few final notes that live in my purchasing folder:
- Test the machine before you sign the delivery receipt. We accepted a skid-mounted unit in 2023 without a run test and discovered later that the pressure valve had been mis-set at the factory—full throttle, and the pressure washer still had no pressure. A ten-minute test at delivery would have caught it. Instead, we waited a week for a technician and looked disorganized to the team that needed the machine.
- Don't take the lowest quote just because it's lowest. I get that budgets are real and finance is watching. But you are the person who will explain why the output quality slipped. Some of the cheapest equipment I've seen fails in a way that makes an entire team look bad.
- Buy quality where clients notice. The machine is visible. The person holding the wand is visible. The results you deliver are visible. Quality in equipment isn't a luxury; it's a brand decision.
- Know your context. I can only speak to a mid-size facility services operation with predictable seasonality. If you're running a food plant or a 24/7 industrial facility, you need different specifications, and you should probably have an engineer or the manufacturer spec the system rather than a purchasing person learning on the job.
- Prices and lead times change. All numbers referenced here are based on quotes and estimates gathered between 2023 and early 2025. Verify current pricing, availability, and regulatory requirements before you make commitments.
Equipment purchasing is easy to get wrong and hard to walk back. But it's also one of those areas where a little structure saves you a lot of grief. Six checks, twenty minutes, fewer awkward conversations. That's the whole point.
