Commercial Cleaning Equipment Buying Checklist: 7 Checks I Run Before Approving Any Order

Who This Checklist Is For

I'm a procurement manager at a 65-person facilities management company. Over the past seven years, I've managed roughly $45,000 annually in cleaning equipment spend. I've processed 200+ orders, negotiated with a dozen-plus vendors, and made enough expensive mistakes that I don't sign off on anything based on gut feel anymore.

This checklist is for anyone buying commercial cleaning equipment — floor scrubbers, pressure washers, vacuum systems, or the accessories that keep them running. It's not for someone buying a Karcher pressure washer for their driveway at home. Different economics entirely.

Seven checks. Do them in order and you'll catch the stuff that invoices won't show until year two.

Check 1: Define the Dirt Before You Define the Machine

I've watched too many people pick a machine first and then figure out how to make it work on-site. Do it the other way around.

Before looking at a single product page, answer three questions:

  • What exactly is being cleaned? Grease, dust, coolant, food residue — each one demands a different approach.
  • How much square footage? A 20-inch scrubber handles tight spaces; an 80,000 sq ft warehouse needs a ride-on.
  • Who's doing it, and when? If your janitorial crew needs to finish before the morning shift, speed isn't optional — it's a deal-breaker.

I remember a 2021 situation where a vendor tried to sell me a CT71 floor scrubber with every bell and whistle. Great machine. But for the 15,000 sq ft retail space we actually needed to clean, the battery pack and brush options were overkill. We ended up paying about 40% more than we needed to for features that never got used.

Define the job. Then match the machine.

Check 2: Read the Manual Like It's a Procurement Document

Most people treat the manual as after-sale material. That's backward.

I pull up manufacturer documentation before I approve any order. If I'm evaluating a Karcher pressure washer, I read the Karcher pressure washer manual — the actual one, not a dealer's PDF summary — and I look for three things:

  • Consumable specs: Nozzle sizes, hose fittings, electrical requirements. These determine what you're buying every few months.

  • Warranty conditions: Many warranties void if you don't follow the manual. Read it knowing what a rejected claim would cost you.

Replacement fittings cost us about $380 over two years because we couldn't source them from our regular supplier. Now I keep a copy of the parts list from the manual and cross-reference it against our existing accessories before I sign anything.

That's the whole point of check two: don't wait until something breaks to read the paperwork.

Check 3: Think About Accessories as Part of the Machine

Half the value of your equipment is what you can attach to it.

Take the Karcher drain cleaning kit as an example. If you're buying a pressure washer to clear drains in a commercial kitchen or facility, but you don't budget for a drain cleaning attachment, you've bought a pressure washer for blasting concrete. Different job. Different result.

Before placing an order, I ask three questions about every new machine:

  1. What's the minimum accessory set to do the job I actually need done?
  2. Are those accessories proprietary or universal? Proprietary means you're locked in. Long-term, that affects cost.
  3. What's the replacement cost, and where do I buy them?

If a replacement nozzle is only available from the OEM at $47 each, and a universal alternative is $12, that's a recurring cost you need in the quote.

Check 4: Walk the Floor Before You Approve Anything

Spec sheets are written for ideal conditions. Your facility isn't ideal.

I do a site walk before approving any purchase over $3,000. Not just square footage — I look at:

  • Floor type: Epoxy, concrete, tile, carpet. Each one changes the brush and squeegee selection.
  • Obstacle density: Racking, columns, display tables. Turning radius matters more than straight-line speed.
  • Thresholds and ramps: I've seen a floor scrubber get stuck on a 3/4-inch threshold because nobody checked the clearance specs.
  • Power availability: If it's electric, where are the outlets? If it's propane, what's the fuel and maintenance overhead?

  • Purchase price (the obvious one)
  • Estimated 5-year maintenance (parts, consumables, planned service)
  • Downtime cost (what happens if the machine is down? Labor hours? Penalties? Overtime?)
  • Training cost (who teaches the staff, and what's the learning curve?)
  • Disposal/residual value (what's it worth in 5 years?)

I still kick myself for not doing this in 2019. We bought two machines that were about $2,200 cheaper on the invoice. Over five years, they cost us roughly $14,000 more in downtime and additional service contracts. That was one of my most expensive lessons.

The invoice number is the entry fee. The real cost happens after you own it.

Check 6: Verify the Service Network Before You Buy

For commercial equipment, downtime costs real money. An $8,000 floor scrubber that sits idle for two weeks because nobody can service it is an $8,000 paperweight.

Before placing an order, I do this:

  • Call local service providers. Not the dealer — the actual people who stock parts and do repairs. Ask about their average response time.
  • Confirm parts availability. If parts ship from overseas, your "three-day repair" could turn into three weeks.
  • Ask about their median repair time. Averages lie. Median tells you what the typical case looks like.

Honestly, I'm not sure why parts pricing varies so wildly between vendors. My best guess is distribution tiers — some suppliers deal directly with the manufacturer, others go through two or three layers of middlemen. If someone has insight on this, I'd love to hear it.

Check 7: Budget for Training Before Go-Live

This is the line item I see cut most often. The equipment arrives, someone gives a 20-minute walkthrough, and six months later your machine breaks because someone added the wrong fluid.

Training costs include:

  • Learning curve time (how much productivity do you lose while your crew gets up to speed?)
  • Training materials (quick-reference cards, translations if needed)
  • Refresher training (turnover is real. How many people will need retraining in six months?)

Our procurement policy now requires manufacturer-led training on any equipment over $5,000. No training, no PO. It's made some vendors unhappy, but it's cut our "operator error" repair rate significantly.

Three Mistakes That Trip People Up

1. Treating equipment categories as interchangeable. A pressure washer and a floor scrubber are not the same thing. Neither one replaces a walk-behind sweeper. Match the machine to the job — not the other way around.

2. Skipping the acceptance test. When equipment arrives, test it. Check serial numbers, plug it in, run it, confirm the features work. I've seen a floor scrubber sit for months with a broken brush drive because nobody took the time to run it through a cycle. Don't let that happen.

3. Assuming verbal promises survive the invoice. If a sales rep says "we'll throw in the first two sets of brushes," and it's not in the contract, it didn't happen. Get it in writing. I learned that one the hard way.

This checklist isn't a substitute for your own judgment. Every facility is different. But if you're making equipment decisions and you don't have a repeatable process, these checks will catch the stuff that costs you money later.

Bottom line: buying equipment looks like a math problem. It's actually a process-and-expectations problem. Get both right, and the math takes care of itself.
